Policies & Procedures
RATES
RATES vary depending on the day of the week and the month reserved. Room charge is not affected if the client chooses to rent items in place of what is provided. An additional $300.00 for labor is added to events booked on national holidays, such as Independence Day, New Year's Eve, etc. There is a 6.75% sales tax on the service charge, which is required by the State of Minnesota.
TIME RESTRICTIONS
Extended time is available at $200.00 per hour at both locations. The latest an event may run is until midnight on Friday and Saturday, and until 11:00pm Sunday through Thursday.
SET UP/TEAR DOWN
The Woods Chapel & Event Center reserves the right to charge an appropriate set up and/or cleaning charge if the condition of the room requires an unusual amount of labor before or after the event. The minimum charge is $50.00/hour. All items brought in for the event must be taken out of the building at the conclusion of the event. The Woods Chapel & Event Center is not responsible for items left overnight, or for lost or stolen items.
DÉCOR
The following is not allowed inside or outside of either facility: non-contained candles, glue, nails, tacks, rice, glitter, confetti, potpourri, bubbles (outdoors only), tents or anything that breaks ground. No items may be left overnight and decorations must be removed by the client (or the vendor) at the end of the event.
BUILDING RESTRICTIONS AND MAINTENANCE
The rental of either facility includes the event center areas and does not include other areas of the building. Throughout the year, maintenance inside and outside of the building is necessary to keep all areas in first-class condition. At anytime any section of the property could be under repair, or driveways could be in the process of being resurfaced.
DAMAGE
The client is responsible for any and all damage to the event space and its contents, which may occur during the client’s function unless a Woods staff member is directly responsible. Damage costs will be automatically deducted from the damage deposit. All areas will be assessed immediately following the event. A $500.00 damage deposit will be collected with the contract or with the final payment, four months prior to the event.
OUTDOOR AMPHITHEATER
The Amphitheater has electricity. The cement area of the Amphitheater will be sprayed off the day of the event but due to wildlife in the area, cannot be guaranteed to be free of droppings, etc. prior to the ceremony. The pond water surrounding the Amphitheater will be cleared for pond debris once a week. After which time winds and currents can cause minimal amount of debris to float in prior to the ceremony. Extreme rainfall occasionally causes flooding in the Amphitheater, leading to the Plan B ceremony location.
THE BRIDAL COTTAGE
Use of the Bridal Cottage must take place within your reserved block of time, unless overtime is purchased. The outdoor Patio area used for ceremonies is a wooded, natural area and is not cleaned prior to ceremonies; however, the landscaping is maintained biweekly.
CEREMONY REHEARSAL POLICY
If a ceremony is part of the event, a wedding rehearsal may be requested the week of the event. Rehearsals may take place on Thursdays from 4:00-5:00pm, 5:00-6:00pm, or 6:00-7:00pm. The Woods Chapel & Event Center cannot confirm the time request until one month prior to the wedding. Rehearsals are allowed a time limit of one hour.
CANCELLATIONS
In the event this contract is cancelled, the $1,000 down payment is non refundable.
SMOKING/ALCOHOL
Our grounds are highly flammable. To ensure safety, smoking is only permitted in the parking lot of the facility. All other areas including the indoor chapel, outdoor amphitheater, Bridal cottage, and Patio Gardens are strictly non-smoking areas.
There is no alcohol allowed at our facility. This includes the parking lot, indoor and outdoor chapel and amphitheater, bridal cottage, and patio gardens.
PHOTOGRAPHERS/CHILDREN
All children must have adult supervision at all times. This is for the protection of the children and our facility. The grounds are very delicate and to protect them, all areas that do not have walk ways are off limits. This includes wooded areas, and areas around the pond.
Flowers and wooded areas are extremely fragile and highly susceptible to damage. To protect our landscaping, photographers are not allowed out side of paved areas, paths, and walk ways. Any damage caused to natural areas by photographers or any other persons will be charged to your account.
All of the above stated rules and regulations are strictly enforced.
